Improving connectedness

WorleyParsons’ strategic goal is to become the most connected organisation in its industry. This meant bringing employees together regardless of physical location, language or cultural differences. The company wanted to introduce a solution that would help employees become more connected, allowing the most relevant, useful and important knowledge to be shared more easily throughout the organisation.

We wanted to transform the way employees perform their roles.”

Previously WorleyParsons had relied on email to disseminate news and information. Because the company’s workforce was geographically distributed, English was not the main language spoken by all staff, and the message was not always getting across. The large number of regional intranets also hindered the distribution of global news.

Communication by employees back to the senior management team or the organisation as a whole was stymied by the lack of any appropriate channel. It was therefore determined that a new intranet was required. The new intranet would need to combine enterprise social features with useful storage space for users.

Moving everything to SharePoint 2013

Empired implemented a hybrid solution using Microsoft SharePoint 2013 (on premises), Office 365, OneDrive, Azure, and Microsoft Translation Services.

In addition to the new SharePoint 2013 WorleyParsons intranet there were also more than a dozen SharePoint 2007 Farms comprising a total of 90 servers. WorleyParsons engaged Microsoft Consulting Services and Empired to migrate these to Office 365 and re-brand them to look consistent with the new intranet to ensure a seamless user experience. The SharePoint 2007 sites were moved to the cloud to begin decommissioning redundant servers and to reduce the cost associated with maintenance and operational activities.

Communicating and connecting

Through the use of Microsoft Translation Services (hosted on Microsoft Azure), Empired developed a solution that automatically translates news content created in English to eight other languages, depending on the users’ preference.

Colin said, “News is now published in real-time and in a targeted fashion to all users so that all employees are well-informed no matter what language they speak. The new system lets employees see the corporate news most relevant to them, in their own language, immediately, removing the clutter of news that is not relevant.”

The new intranet also lets employees provide feedback on news items through commenting and “liking”, easily communicating their opinions about the news to the company.

Colin said, “The presence of conversations lets staff share thoughts and opinions across team and geographical boundaries, creating a greater sense of community and uncovering opportunities to cross-pollinate areas of the business. This was achieved through tagging, liking, and commenting to promote an ongoing online dialogue."

“Employees can now also maintain company-wide blogs in which they can display their knowledge or passion about a particular area. This has led to the discovery of a number of subject matter experts with a wealth of knowledge, experience and insights that previously would have remained untapped. Because the information that is most liked and followed bubbles to the top, users can more efficiently see the most useful content."

Increased storage

WorleyParsons uses SharePoint MySites to ensure management has visibility and control over its intellectual property and so that its people can search and locate experts across the globe.

Colin said, “SharePoint on-premises MySite functionality gives each employee 100MB of storage space by default. However, multiplied by the number of employees and the additional space required for backups, search indexes and database logs, this translated to a need for 7.6TB of storage, which was untenable.

“The IT team could have reduced the quota from 100MB per user to 20MB per user but this would have been risky because the available storage would not have been sufficient to keep users away from using third-party cloud services like Dropbox. These services cannot be controlled from a data-loss perspective, making them unacceptable for company use.”

WorleyParsons engaged Microsoft and Empired to provision Microsoft OneDrive for Business sites in Office 365 and integrates it with their on-premises SharePoint intranet.

Colin said, “This service gives each employee a more-than-adequate 25GB of storage at a fraction of the cost of on-premises storage, with the additional benefits of financially-backed, guaranteed uptime, and minimal IT operational requirements.”

A more effective team

Colin said, “The solution implemented by Empired lets employees access the information they need, including information about colleagues, such as their skills and experience. This information is provided through a light integration with an existing profiling program. It is common in an organisation so large and geographically-dispersed that employees often end up working in teams with people in other locations without ever having met those colleagues face-to-face. This system helps them understand each other and build stronger relationships, which results in a more effective team that delivers better service to customers."
